Organizing Templates

By Category

Organize templates mentally by purpose:

  • Welcome Messages: Onboarding, introductions
  • Acknowledgment: Issue received, request logged
  • Instructions: How-to guides, setup steps
  • Closing: Thank you, follow-up messages

Naming Conventions

Use consistent naming:

  • Start with action: "Acknowledge issue"
  • Include context: "Refund request received"
  • Be specific: "Welcome - Premium plan"

Regular Cleanup

  • Review templates monthly
  • Remove unused templates
  • Update outdated content
  • Consolidate similar templates

Template Statistics

Each template shows:

  • Last Updated: When it was last modified
  • Shortcut: Quick command (if set)
  • Preview: First few lines of text

Best Practices

Keep Templates Current

  • Update templates when processes change
  • Remove references to outdated features
  • Update contact information if changed

Test Templates

  • Use templates in real conversations
  • Get feedback from team members
  • Refine based on customer responses

Document Usage

  • Note when to use each template
  • Share templates with team members
  • Keep a list of common scenarios

Bulk Management

Currently, templates are managed individually. To organize:

  • Edit templates one at a time
  • Delete unused templates regularly
  • Create new templates as needed
