Using Shortcuts in Replies

Quickly insert saved reply templates using keyboard shortcuts while typing.

How Shortcuts Work

When typing a reply, type a shortcut command (like /thanks) and it automatically expands to the full template text.

Using Shortcuts

  1. Start typing in the reply textarea
  2. Type your shortcut (e.g., /thanks)
  3. The shortcut is automatically replaced with the template text
  4. Edit as needed before sending
Type shortcuts like /thanks to instantly insert saved replies.

Shortcut Format

Shortcuts start with a forward slash (/) followed by the shortcut name:

  • /thanks - Thank you message
  • /welcome - Welcome message
  • /refund - Refund template
  • /setup - Setup instructions

Creating Shortcuts

When creating a saved reply:

  1. Enter a Title for the template
  2. Optionally enter a Shortcut (e.g., /thanks)
  3. Enter the Reply Text
  4. Save the template

The shortcut must:

  • Start with /
  • Be unique (no duplicates)
  • Use alphanumeric characters and underscores
  • Be memorable and easy to type

Example Usage

Typing a Shortcut

  1. You type: /thanks
  2. System detects the shortcut
  3. Replaces with full template text
  4. You can then edit or send

In Practice

You type: "Hi John, /thanks for reaching out!"
Becomes: "Hi John, [full template text] for reaching out!"

Shortcut Detection

Shortcuts are detected when:

  • You type the exact shortcut text
  • The shortcut ends (you continue typing or press space)
  • A matching saved reply exists

Best Practices

Memorable Shortcuts

  • Use intuitive names: /thanks, /welcome, /refund
  • Keep them short: /ack not /acknowledgment
  • Be consistent: Use similar patterns

Common Shortcuts

Consider creating shortcuts for:

  • /thanks - Thank you messages
  • /welcome - Welcome messages
  • /refund - Refund requests
  • /bug - Bug report acknowledgment
  • /feature - Feature request acknowledgment
  • /close - Closing messages

Combining with Manual Text

You can combine shortcuts with your own text:

Hi John,

/thanks

I've looked into your issue and here's what I found...

Troubleshooting

Shortcut Not Working

  • Verify the shortcut is spelled correctly
  • Check that a saved reply with that shortcut exists
  • Ensure you're typing the full shortcut
  • Try clicking the saved reply button instead

Multiple Matches

If you have similar shortcuts, be specific:

  • /thanks vs /thanks2 - Use the exact shortcut
  • System uses the first match found

Shortcut Conflicts

  • Each shortcut must be unique
  • If you create a duplicate, the newer one takes precedence
  • Consider using more specific names
