Customizing the template
Adapt the template to your specific event:
Modify ticket types
Edit the Ticket Type dropdown to match your event structure. Examples: "Early Bird", "Standard", "Student", "Speaker", or "Standard Pass", "VIP Experience", "Group Registration".
Adjust dietary options
Add or remove dietary preferences based on your catering needs. Consider adding "Dairy-free", "Nut allergy", or "Pescatarian" if relevant for your audience.
Add session selection
For multi-track events, add a checkboxes field: "Sessions You'll Attend" with workshop or breakout session names. Helps with room capacity planning.
Include plus-one field
Add a "Number of Guests" (Short Text) or "Bringing a Plus-One?" (Radio: Yes/No) field for events that allow additional attendees.
Remove virtual option
If your event is in-person only, edit Ticket Type to remove "Virtual Attendance" or replace it with "Early Bird", "Regular", etc.
Add t-shirt size
Include a dropdown for shirt sizes if you're providing event swag: XS, S, M, L, XL, 2XL, 3XL.
Best practices
Send confirmation immediately: Configure email notifications to send attendees a confirmation with event details right after registration. This reduces anxiety and no-shows.
Ask for dietary needs early: Don't wait until the week before. Collecting dietary information at registration gives caterers adequate notice and prevents last-minute scrambling.
Keep accessibility field visible: Even if few attendees need accommodations, showing this field signals your event is inclusive and prepared to help everyone participate.
Use RSVP data for planning: Export "Yes" responses to estimate attendance for venue size, catering quantities, and seating arrangements. Factor in a 15-20% no-show rate.
Follow up with "Maybe" responses: One week before the event, email attendees who selected "Maybe" with a reminder and easy way to update their RSVP.
Respect "No" responses: Don't remove "No" as an option to inflate yes-count. Explicit declines help you get accurate headcounts and respect people's time.
