Managing AI Companion Settings

Update your AI Companion configuration, change providers, modify settings, and manage your AI assistant after initial setup.

Accessing Settings

  1. Log in to your SupportRetriever dashboard
  2. Navigate to AI Companion from settings or visit /ai-companion
  3. View your current configuration

The settings page shows:

  • Status toggle - Enable or disable AI Companion
  • Configuration details - Name, provider, API key, knowledge base, MCP (optional)
  • Management options - Edit, delete, update settings

Enable/Disable Toggle

Quickly pause or resume AI Companion:

  1. Find the Status toggle at the top of the configuration section
  2. Click to toggle between Active and Paused
  3. Changes take effect immediately

When paused:

  • No new suggestions are generated
  • Existing suggestions remain visible
  • Configuration is preserved
  • Easy to resume later

When active:

  • Suggestions generate automatically
  • Works normally for all conversations

Editing Configuration

Inline Editing

Most fields support inline editing:

  1. Click the edit icon (pencil) next to any field
  2. Make your changes
  3. Click checkmark to save or X to cancel

Changing Companion Name

  1. Click edit on AI Name
  2. Enter new name (up to 50 characters)
  3. Save changes

The new name appears in suggestion headers immediately.

Switching Providers

  1. Click edit on Provider
  2. Select new provider from dropdown
  3. Important: You'll need to enter the new provider's API key
  4. Save changes
Note: When switching providers, you must provide a new API key for the selected provider. Your old API key won't work with a different provider.

Updating API Key

  1. Click edit on API Key
  2. Enter new API key
  3. Save changes

Your API key is encrypted before storage. The preview shows a masked version (e.g., sk-proj-...abc123).

When to update:

  • Key expired or revoked
  • Security rotation (annual best practice)
  • Switching providers
  • Key compromised

Modifying Knowledge Base URL

  1. Click edit on Knowledge Base URL
  2. Enter new URL or leave empty to remove
  3. Save changes

New suggestions immediately use the updated knowledge base.

Configuring MCP

You can optionally add an MCP (Model Context Protocol) endpoint so the AI can fetch extra context (e.g. user or account data) when generating suggestions. Click Edit next to MCP, then enter the endpoint URL (HTTPS), secret key, and a JSON schema for the request body. Map each schema property to customer name, customer email, or a metadata key from form submissions. For full steps and examples, see Configuring MCP.

Deleting Configuration

Permanently remove your AI Companion configuration:

  1. Scroll to bottom of configuration section
  2. Click Delete Configuration
  3. Confirm deletion in the modal
  4. Configuration is permanently removed
Warning: This action cannot be undone. Your encrypted API key and all configuration will be permanently deleted. Existing suggestions will remain but no new ones will be generated.

What happens when deleted:

  • Configuration removed permanently
  • Encrypted API key deleted
  • No new suggestions generated
  • Existing suggestions remain visible
  • You can set up again anytime

Best Practices

Monitor Provider Billing

Set up usage alerts in your AI provider account:

  • OpenAI: Usage limits and alerts in account settings
  • Anthropic: Billing alerts in console
  • Grok: Usage monitoring in dashboard
  • Gemini: Quota limits in Google Cloud Console

Rotate API Keys Annually

For security best practices:

  1. Generate new API key from provider
  2. Update in AI Companion settings
  3. Revoke old key in provider account
  4. Verify new key works

Keep Knowledge Base Fresh

Regularly update your knowledge base URL:

  • When documentation moves
  • When structure changes
  • When adding new content
  • To ensure latest information

Review Suggestion Quality

Periodically review suggestion quality:

  • Check accuracy
  • Verify tone matches your brand
  • Ensure knowledge base is being used
  • Consider provider switch if needed

Reconfiguring After Deletion

If you deleted your configuration and want to set up again:

  1. Go to AI Companion settings
  2. Click Get Started
  3. Follow the setup wizard
  4. Enter new configuration

You can set up with the same or different provider, name, and knowledge base.

Advanced Configuration

Provider-Specific Settings

Some providers offer additional settings in their consoles:

  • Usage limits - Set maximum API calls
  • Rate limits - Control request frequency
  • Model selection - Choose specific models (if available)

Configure these in your provider's console, not in SupportRetriever.

Knowledge Base Optimization

To improve knowledge base usage:

  • Keep documentation up-to-date
  • Use clear, searchable content
  • Organize content logically
  • Ensure public accessibility
